How to add parts to estimates and work orders

With the TireTutor.ai Shop Management System, you can quote parts and add them to work orders.

 
Adding parts to Estimates:
  1. Create or Open an Estimate and ensure a vehicle (with a valid VIN or license plate) is added to the estimate. This allows the vehicle information to be automatically imported into PartsTech.
  2. Add the service: Use the "Add Service" button to select the service you'd like to add to the estimate, such as an oil change. This will add the labor time and suggested parts to the estimate.
  3. Swap any parts in inventory: If you have any of the parts in inventory, then you can use the swap icon to find and add them to the estimate.
  4. Add new parts: For items you do not have in inventory, click the "Add PartsTech" button to open the PartsTech interface.
  5. Find and Select Parts: Search for the necessary parts (e.g., oil and oil filter for an oil change service).
  6. Submit as a Quote: Once you have added the desired items to the PartsTech cart, click "Submit Quote." This imports the parts and their quoted price (including markups) back into your estimate without processing payment.
  7. Review Service Items: If you added a Motor Service (like an oil change) and then quoted the required parts (oil, filter) from PartsTech, you should remove the double-quoted service entry on the work order to prevent billing confusion.

Convert Estimate to Work Order and Purchase Parts:
  1. Approve the Estimate to convert it into a Work Order. The quoted PartsTech items will be carried over to the work order.
  2. Access PartsTech from the Work Order: Click the "Add PartsTech" button again from the work order.
  3. Open the Cart: Select "open in cart." The items you previously quoted will be pre-filled in your PartsTech cart.
  4. Enter Purchase Order Reference: PartsTech does not allow us to pre-fill the purchase order reference number, so for tracking purposes we recommend pasting in the Work Order number in the Purchase Order field.
  5. Finalize Purchase: Click "buy now" within PartsTech to complete the transaction and process the payment. This will automatically generate a Purchase Order in the TireTutor.ai Shop Management System.
  6. Set the Work Order as complete: Once the work is complete, set the work order as complete.
  7. Process Payment: Click "Process Payment" in the bottom right to send the total to your Square terminal and accept payment from your customer (or select additional payment options if desired).
